Privacy policy
What Mintage collects through this website, why, and what you can ask us to do with it.
Example text for the Mintage template, written for a fictional company. Have it reviewed by a lawyer and adapted to your business before you publish it.
1. Who we are
This website is operated by [Company legal name] (“Mintage”, “we”, “us”), a company registered under number [Company registration number], with its registered office at [Registered address]. For the personal data described in this policy, we act as controller within the meaning of the EU General Data Protection Regulation (GDPR) and, where it applies, the UK GDPR and the UK Data Protection Act 2018. You can contact us about this policy at [Contact email]. [Data protection officer, if any.]
This policy covers this website only: the pages you read, the forms you send and the emails you subscribe to. If you become a client, an investor in an issue we service, or a user of our application, separate privacy notices apply to that relationship and are given to you at onboarding.
2. The data we collect
We collect only what we need to answer you and run this site.
When you contact us or request a demo: your name, work email, company, role, the type of organisation you represent, the asset class and approximate size you mention, your target date if you give one, and your message.
When you subscribe to our notes: your work email address and the date and source of your subscription.
When you follow a link to our scheduling, application, documentation or careers tools: those services are run separately and collect data under their own policies (section 6).
When you browse the site: technical data such as pages viewed, referring page, browser, device type and approximate location derived from your IP address, through the cookies and similar technologies described in our Cookie Policy. Analytics are used only with your consent.
We do not ask for, and ask you not to send through this website, identity documents, bank details, wallet keys or information about your investments. If you send them anyway, we delete them and reply through the proper onboarding channel.
3. Why we use it, and on what basis
Answering your message or demo request — Steps taken at your request before a possible contract; our legitimate interest in responding to business enquiries
Following up on a business opportunity with your organisation — Our legitimate interest in developing our business, balanced against your rights
Sending our notes by email — Your consent, which you can withdraw at any time
Measuring how the site is used — Your consent, given through the cookie banner
Keeping the site and forms secure, preventing spam and abuse — Our legitimate interest in protecting our systems
Keeping records required by law and defending legal claims — Legal obligation; our legitimate interest
We do not use your data for automated decision-making that produces legal effects, and we do not sell it.
4. Who we share it with
We share personal data only with the service providers that help us run this website and answer you, under contracts that require them to protect it and use it only on our instructions:
our website host and form processor, Framer B.V.;
our customer relationship and email tools, if you contact us or subscribe;
our analytics provider, if you consent to analytics cookies;
our professional advisers (lawyers, auditors) where needed;
public authorities, regulators or courts, when the law requires it.
If we are involved in a merger, acquisition or sale of assets, your data may be transferred to the buyer under the same protections. Group companies in our offices may access enquiries to answer them.
5. How long we keep it
Data — Kept for
Contact and demo requests that don’t lead to a relationship — 24 months after our last exchange, then deleted
Contact requests that lead to a client relationship — Moved to the client file and kept under the client privacy notice
Newsletter subscription — Until you unsubscribe, then deleted within 30 days (we keep your address on a suppression list so we don’t email you again)
Analytics data — 14 months at most
Security logs — 12 months
6. Third-party services and links
Buttons such as “Book a demo”, “Open the app”, “Read the docs” and “Book a demo” take you to services run separately from this website (for example a scheduling tool, our application or our documentation). When you use them, the provider of that service processes your data under its own terms and privacy notice, and in some cases acts as a separate controller. Please read those notices before you submit information there.
7. Transfers outside the UK and the EEA
We have offices in Luxembourg, London and Singapore, and some of our providers store data outside the European Economic Area or the United Kingdom. When data is transferred, the transfer is covered by an adequacy decision (such as the EU–US Data Privacy Framework or the UK adequacy regulations), or by the European Commission’s standard contractual clauses or the UK International Data Transfer Addendum. You can ask us for a copy of the safeguards that apply.
8. Your rights
Depending on where you are, you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to its use (including at any time to direct marketing), to receive it in a portable format, and to withdraw any consent you gave, without affecting what was done before. To use these rights, write to [Contact email]. We answer within one month, and may ask you to confirm your identity first.
If you think we have not handled your data properly, please tell us first so we can put it right. You can also complain to [Supervisory authority] or to the data protection authority where you live or work.
9. Security
We protect personal data with access controls, encryption in transit, hardware-key sign-in for our staff and regular reviews of who can see what. No system is perfectly secure; if a breach affects your data and is likely to put your rights at risk, we will tell you and the competent authority as the law requires.
10. Changes and contact
We may update this policy when our tools or the law change. The date at the top shows the latest version. If a change matters to how we use your data, we will say so on this page and, if you subscribe to our notes, by email.
